Privacy Policy โ Forward Financial Intelligence (fwdfi.com) Introduction Forward Financial Intelligence, Inc. ("FFI," "Forward," "we," "us," or "our") respects your privacy. This Privacy Policy explains how we collect, use, share, and protect personal information when you visit fwdfi.com (the "Site"), contact us, apply for a job, or interact with us as a client or prospective client. FFI provides bookkeeping, controller, HR management, payroll, and financial intelligence services to businesses and nonprofits. Personal information we process on behalf of clients in the course of those services (for example, client employee payroll records) is also governed by our written client agreements. Where a client agreement conflicts with this Policy, the client agreement controls. Effective date: October 1, 2026 Information We Collect Information you give us. When you fill out a contact form, email or call us, or subscribe to updates, we collect what you provide, such as your name, organization, job title, email address, phone number, mailing address, and the content of your message. Job applicant information. If you apply through our Careers page, we collect your resume, work history, education, references, and any other information you choose to submit. Client and engagement information. To deliver our services, clients may share financial records, accounting system access, bank and vendor information, and employee information needed for HR and payroll (such as names, addresses, compensation, tax withholding details, Social Security numbers, and direct-deposit account details). We use this information only to perform services for that client. Information collected automatically. When you visit the Site, our website platform and analytics tools automatically collect technical information, such as your IP address, browser and device type, pages viewed, referring website, and the date and time of your visit. How We Use Information We use personal information to: Respond to inquiries and provide information you request Deliver, manage, and bill for our bookkeeping, controller, HR, payroll, and advisory services Process payroll, tax filings, and related obligations on behalf of clients Evaluate job applicants and manage hiring Send updates or newsletters you have agreed to receive Operate, secure, and improve the Site Comply with legal, tax, regulatory, and professional obligations Protect the rights, property, and safety of FFI, our clients, and others We do not use client financial or employee data for marketing. How We Share Information We do not sell or rent personal information, and we do not share it for cross-context behavioral advertising. We share it only as follows: Service providers. Vendors that help us operate, such as website hosting, accounting and payroll software, cloud storage, and email. They may use the information only to provide services to us. At a client's direction. For example, transmitting payroll to banks, filing with tax agencies, or coordinating with a client's auditors, insurers, or benefits providers. Legal and safety reasons. Data Security We use administrative, technical, and physical safeguards designed to protect personal information. These include access limited to staff who need it, multi-factor authentication on systems holding client data, encrypted transmission, and secure, reputable accounting and payroll platforms. Staff are trained on confidentiality and handling sensitive data. No method of transmission or storage is completely secure. Please do not send Social Security numbers, bank account numbers, or other sensitive data through our website contact form or regular email; we will provide a secure method. If we learn of a breach affecting your personal information, we will notify you as required by law, including Virginia Code ยง 18.2-186.6. Data Retention We keep personal information only as long as needed for the purposes described here, or as required by law. Client financial, payroll, and tax records are kept for the periods required by federal and state law and our client agreements, which commonly run several years after the period they relate to. Job applicant information is kept for [insert period, e.g., two years] unless you ask us to delete it sooner. When information is no longer needed, we securely delete or anonymize it. Your Choices and Rights Marketing emails. You can unsubscribe at any time using the link in any marketing email or by contacting us. We will still send service-related messages to clients. Access, correction, and deletion. Depending on where you live, you may have the right to: Confirm whether we process your personal information and access it Correct inaccurate information Delete information you provided to us Obtain a portable copy of your information Opt out of targeted advertising, sale of personal data, or profiling To make a request, email hello@fwdfi.com or call 434.214.0772. We will verify your identity before responding and reply within 45 days. If we deny your request, you may appeal by replying to our decision; Virginia residents who remain unsatisfied may contact the Virginia Attorney General. If your information was provided to us by an employer or other client (for example, payroll records), please direct your request to that organization. We will assist them in responding. Children's Privacy and Third-Party Links The Site is intended for businesses and adults. We do not knowingly collect personal information from children under 13 through the Site. If you believe a child has provided us information, contact us and we will delete it. The Site may link to third-party sites, such as LinkedIn. We are not responsible for the privacy practices of those sites, and we encourage you to read their policies. Changes to This Policy We may update this Policy from time to time. We will post the revised version on this page and update the effective date. For material changes, we may also notify clients directly.
